Terms and Conditions - Ellerbee Events

RENTAL TERMS AND CONDITIONS

Equipment and rental items will be reserved only upon receipt of a signed rental contract which will be emailed to you and a 25% non-refundable deposit paid by credit card.
Full rental charges must be paid 14 days in advance of the event date or delivery/pickup date. If booking within our 14 day window, entire payment for the rentals items are due at time of booking.
Payment of the deposit or any rental payment constitutes agreement to these terms and conditions.

Cancellations made less than 14 days prior to the event date will be charged the full rental price.
Deposits are non-refundable under all circumstances.

The Renter is responsible for reading and understanding these terms and conditions before signing.
The Renter agrees to be financially liable for any damages, theft, or loss of rental items.
The Renter’s credit card may be charged for damages incurred during the rental period.
Failure to return rented items by the specified date may result in criminal charges or additional fees.
The Renter must notify Ellerbee Event Rentals of any change in address or phone number while in possession of rented items.

Delivery is available for a $85 fee within a 30-mile radius of Willow Spring, NC, 27592.
Additional mileage is charged at $3 per mile.
Additional fees apply for deliveries to upper floors or locations requiring excessive loading/unloading distances.
The client must be available to confirm item counts upon delivery and pickup. If unavailable, Ellerbee Event Rentals’ counts will be considered accurate.
Responsibility for the equipment remains with the client from the time of delivery until the time of pickup.

To prevent damage, all items must be covered with blankets or tarps and secured with straps during transport.
Covers and straps are available for rent at $15.
If the Renter arrives for pickup without proper equipment, they will be required to rent the necessary items for $15.

Rental equipment is not covered by Ellerbee Event Rentals’ insurance; the Renter is fully responsible for all items.
Tents are temporary structures and may not withstand extreme weather conditions.
It is the Renter’s responsibility to ensure all rental items are secured when not in use and protected from weather damage.

All floral arrangements, trash, and decorations must be removed before pickup.
Decorations must not damage or stain rental items.
Chairs and tables must be stacked as delivered.
Additional charges apply if:
- The site is not ready or accessible upon arrival.
- Items are not returned in their original order or packaging.
- Food service items are not rinsed food-free.
- Rental items are returned excessively dirty.

A 10% damage protection fee can be added to the contract.
Coverage:
- Covers up to $150 in accidental damages for orders under $1,500.
- For orders over $1,500, coverage increases to $250 in accidental damages.
If declined, the renter is responsible for the full cost of damage or replacement.
This protection plan does NOT cover:
- Items not returned or stolen
- Damage from vandalism, weather, improper transport, or misuse
- Third-party sub-rental items or specialty linens

A 15% setup & takedown fee can be added to the contract.
This service is only available for delivery orders.
Setup will be conducted as per the contract and does not include items not rented from Ellerbee Event Rentals.
Clients should allocate sufficient time before the event for setup completion.

The event may be subject to video and/or photography for social media and advertising purposes.

The client is responsible for any additional charges incurred for failure to meet these terms.
In the event of legal action or collection efforts, all associated fees will be the responsibility of the non-prevailing party.
